A plain-English summary of how working together actually works — what is promised, what is not, and how to leave.
What this page is
This is a summary written so it can be read without a lawyer. It is not the agreement. The signed Service Agreement between Alent and your practice is what governs the relationship, and where the two differ, the signed agreement wins.
What Alent is
An AI voice agent that answers a dental practice’s inbound calls, answers questions about the practice, and books appointments into the practice’s live calendar. It is software operated as a service. It is not a human answering service and it is not a medical service.
What it will not do
- It does not give clinical or dental advice, and nothing it says is a substitute for a clinician
- It does not quote a patient’s insurance coverage or estimate out-of-pocket cost
- It does not claim to be human, and identifies itself as an AI voice agent when asked
- It does not handle billing calls, non-dental calls, or calls for other businesses at the same number
- It is not an emergency service. Emergency callers are given the practice’s own written instructions, which the practice supplies and controls
What we promise
- Every call answered, around the clock — nights, weekends, holidays, and when every line is busy. The full call log is yours.
- Live within seven days of receiving the details we ask for at setup.
- Nothing goes live until it is tested over a real phone call and you have signed off on a recording.
What we do not promise
We do not guarantee a number of appointments. How many people call, and how many of them want to book, is not something we control. Any vendor promising you a specific appointment count without first measuring your actual call volume is guessing.
What the practice is responsible for
The service cannot work without these, and they are the practice’s side of the arrangement:
- Forwarding calls to the number we provide, and keeping that forwarding switched on
- Keeping the connected calendar accurate, with genuine availability to book into
- Answering live transfers during opening hours
- Supplying and approving the emergency instructions, the insurance list, and the practice details the agent reads from
- Telling us when any of the above changes
Money, and leaving
- A one-time setup fee and a flat monthly fee, at the rates set out in your service agreement. Calls are not billed per call or per minute within the included monthly allowance.
- Fourteen days to change your mind. Cancel within fourteen days of signing and you get a full refund, setup fee included.
- Month to month after that. No minimum term, no notice period, no cancellation fee.
- A fair-use allowance of call minutes is included each month. It resets monthly and does not roll over. Usage beyond it is charged at the per-minute rate in your service agreement.
- Non-payment pauses the service after the period stated in your service agreement. We will tell you before that happens.
Patient information
Answering calls for a dental practice means handling protected health information. A Business Associate Agreement is signed before any live patient call. Bookings are written into the practice’s own calendar and Alent keeps no patient database. The detail is on the privacy page.
Things outside our control
The service depends on telephone networks and third-party providers. Outages at those providers are not something Alent causes or can prevent, and they are excluded from what we are liable for — but we will restore service as quickly as we can and tell you what happened.
Alent’s total liability is capped, and the cap is stated in your service agreement. Nothing in these terms limits liability where the law does not allow it to be limited.
Changes
If these terms change, the date at the top changes and existing clients are told before the change applies to them.
