Privacy policy.
What this website collects, what the service handles on your behalf, and how patient information is kept to the minimum needed to book an appointment.
The short version
This website runs no analytics, sets no cookies of its own, and stores nothing in your browser. The only information it receives is what you choose to type into the booking form.
The service is different: answering calls for a dental practice means handling patient information. That is covered under “The service” below, and it is governed by a Business Associate Agreement signed with every practice before a single live patient call.
This website
What we do not do
- No analytics or measurement scripts of any kind
- No advertising or social pixels, and no remarketing
- No cookies set by Alent, and nothing written to local storage
- No account to create, and no newsletter sign-up
Third parties the pages load
- Google Fonts — typefaces are served from Google’s servers, which receive your IP address and browser details as part of that request. This is handled under Google’s own privacy policy.
- Calendly — the booking calendar on the home page is embedded from Calendly. If you book, the name, email address and any details you enter go to Calendly and to us. Calendly may set its own cookies inside that embed. This is handled under Calendly’s privacy policy.
- Vercel — the site is hosted on Vercel, which keeps standard server request logs.
If you book a call
We receive your name, your email address, and whatever you choose to tell us about your practice. It is used to hold the call, to prepare for it, and to follow up afterwards. It is not sold, rented or shared for anyone else’s marketing, ever. Ask us to delete it and we will.
The service
When Alent answers calls for a practice, it handles protected health information. Under HIPAA that makes Alent a Business Associate of the practice. The design goal is to hold as little of that information as possible.
How that is kept small
- Bookings are written into the practice’s own calendar, which stays in the practice’s custody. Alent is not the system of record and does not write into the practice management software.
- Alent keeps no patient database. What is retained for reporting is de-identified and aggregate — call counts, booking counts, call durations — not patient records.
- Calls are recorded and logged so the practice can hear exactly what was said and correct anything. Recordings and logs belong to the practice and are available to it on request.
- A Business Associate Agreement is signed with every practice before any live patient call is taken.
- Vendors in the call path that handle protected health information are required to sign a Business Associate Agreement. Any vendor that will not sign one only ever receives de-identified counts.
What the agent will not do
- It does not give clinical advice
- It does not quote a patient’s insurance coverage or estimate what they will owe
- It does not claim to be a human being, and says it is an AI voice agent when asked
Patients
If you are a patient of a practice that uses Alent and you want to know what was recorded, or you want it deleted, contact your dental practice. They hold the record and they decide. We act on their instruction.
Keeping and deleting
Booking enquiries are kept only while they are useful and are deleted on request. Service data is kept for as long as the practice remains a client and is deleted or returned when the agreement ends, in line with the Business Associate Agreement.
Changes
If this site ever starts using analytics, a pixel or a chat widget, this page is updated before that goes live, and the date at the top changes with it.
